1. Purpose of This Policy
This Donation Policy explains how donations made to ROOTS through DianaLea.com or other approved channels are received, processed, used, acknowledged, and, when appropriate, reviewed for correction or refund.
By making a donation, you acknowledge this policy, our Terms and Conditions, and our Privacy Policy.
2. How Donations Support Children and Families
Donations help ROOTS advance its mission and provide meaningful support to children and families navigating pediatric neuroimmune conditions. Depending on current needs, available funding, and program development, donations may support:
3. Donation Methods
ROOTS may accept one-time or recurring donations through secure online payment links and any other methods expressly approved and displayed by ROOTS. Available methods, currencies, and payment options may vary.
Donors must provide accurate information and use a payment method they are authorized to use. Donations may be declined or delayed if payment information is incomplete, invalid, flagged for review, or rejected by the payment provider.
4. Recurring Donations
If you choose a recurring donation, you authorize the payment provider to charge the selected amount at the frequency shown during checkout until the recurring gift is cancelled.
You may request cancellation of future recurring charges through the management method provided by the payment processor or by contacting ROOTS. Cancellation does not automatically refund donations already processed before the cancellation becomes effective.
5. General and Designated Donations
Unless ROOTS expressly accepts a donation for a specific restricted purpose, donations are treated as general mission support and may be directed where they are most needed.
If a donor requests a particular program designation, ROOTS will make reasonable efforts to honor an accepted designation. If the stated purpose becomes unavailable, fully funded, impractical, or inconsistent with ROOTS’ mission or legal obligations, ROOTS may contact the donor or redirect the funds to a closely related mission purpose, as permitted by law.
6. Secure Payment Processing, Fees, and Currency
Online donations may be processed through Stripe or another independent payment provider. Payment-card details are submitted directly to the processor and are not intended to be stored on DianaLea.com.
The processor may deduct transaction fees or apply currency-conversion charges according to its terms. The amount received by ROOTS may therefore be less than the amount charged to the donor. Donors are responsible for reviewing the amount, currency, and frequency before confirming payment.
7. Refunds, Duplicate Charges, and Unauthorized Donations
Donations are generally final because ROOTS may begin allocating funds to mission activities after receipt. However, ROOTS will review requests involving duplicate payments, an incorrect donation amount, processing errors, or a payment that the account holder reports as unauthorized.
Contact ROOTS as soon as possible with the donor’s name, transaction date, amount, and a description of the issue. Approved refunds will generally be returned to the original payment method and may take additional time to appear, depending on the payment provider or financial institution.
ROOTS reserves the right to deny a refund request where funds have already been committed, the request cannot be verified, the request is inconsistent with applicable law, or fraud or misuse is suspected.
8. Donation Receipts and Tax Matters
Where available, donors may receive an electronic confirmation or receipt using the contact information provided during payment. Donors are responsible for keeping their records and ensuring that submitted information is accurate.
Tax treatment depends on ROOTS’ organizational status, the donor’s location, the nature of the gift, and applicable law. Nothing on DianaLea.com is tax advice, and no statement on the website guarantees that a donation is tax-deductible. Donors should consult a qualified tax professional.
9. Donor Privacy and Data Protection
ROOTS respects donor privacy. We do not sell donor personal information. Donation information may be shared with trusted providers only as reasonably necessary to process payments, issue receipts, maintain records, prevent fraud, comply with law, or support authorized communications.
For more information about data collection, cookies, security, retention, and privacy choices, review our Privacy Policy.
10. Donor Recognition and Anonymous Giving
ROOTS may acknowledge or thank donors privately. A donor may request anonymity or ask not to be included in public recognition. ROOTS will make reasonable efforts to honor that request, while retaining information required for internal records, payment processing, fraud prevention, or legal compliance.
A donor’s name, story, image, testimonial, or donation amount will not be published for promotional purposes without appropriate permission where required.
11. Gift Acceptance and Refusal
ROOTS may decline, return, or place conditions on a donation when accepting it could conflict with the organization’s mission, create an unreasonable obligation, present legal or reputational concerns, involve suspected fraud, or require expenses disproportionate to the gift’s value.
Non-cash gifts, sponsorships, grants, securities, property, or gifts with special conditions may require separate written review and acceptance.
12. Changes to This Policy
ROOTS may update this Donation Policy as its programs, payment methods, service providers, or legal obligations change. Revisions will be posted on this page with an updated effective date. The policy in effect when a donation is made will generally apply to that transaction, subject to applicable law.
